Job Summary: We are seeking a proactive and organized Office Assistant to join our team. The ideal candidate will play a pivotal role in maintaining the efficiency and smooth operation of our office. The Office Assistant will provide administrative support, assist with daily tasks, and contribute to creating a positive work environment.
Responsibilities:
- Manage incoming phone calls, emails, and inquiries, directing them to the appropriate staff members/Directors.
- Assist with scheduling appointments, meetings, and conference calls.
- Maintain and update office calendars, ensuring accuracy and consistency.
- Perform data entry, document management, and record keeping.
- Organize and maintain both physical and digital files in an orderly manner.
- Monitor and replenish office supplies as needed.
- Greet and assist visitors, clients, and customers in a professional and friendly manner.
- Assist in planning and coordinating company events and meetings.
- Prepare and format documents, spreadsheets, and presentations.
- Collaborate with colleagues to ensure seamless workflow and communication.
- Assist with basic bookkeeping tasks, including petty cash management and expense tracking.
- Contribute to the upkeep and tidiness of the office environment.
- Handle ad-hoc tasks and assignments as required.
Qualifications:
- High school diploma or equivalent; additional relevant certifications a plus.
- Proven experience as an office assistant or in a similar administrative role.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Strong organizational skills and attention to detail.
- Excellent verbal and written communication skills.
- Ability to multitask and prioritize tasks effectively.
- Positive attitude, with a willingness to learn and take initiative.
- Customer service-oriented mindset.
- Familiarity with basic office equipment and technology.
- Strong time management skills and the ability to work independently or as part of a team.
